In these Terms & Conditions, “Costa Blanca Events”, “we”, “us” and “our” refer to Costa Blanca Events.
“Client”, “you” and “your” refer to the person or persons booking our services.
Where two persons enter into an agreement jointly, both persons are responsible for the obligations under the agreement unless otherwise agreed in writing.
2. Our Services
Costa Blanca Events provides bespoke wedding planning, event planning, styling and decoration services.
Depending on the package or quotation selected, services may include:
Full wedding planning
Partial wedding planning
Wedding day coordination
Supplier sourcing and coordination
Venue sourcing and recommendations
Budget planning and management
Event design and styling
Decoration and furniture hire
Floral styling and decoration
Timeline and schedule creation
Guest logistics
Communication with suppliers
Wedding day management
Set-up and styling
Breakdown and collection of hired items
Other services specifically agreed in writing
The exact services included in the booking will be set out in the Client’s individual quotation, proposal or agreement.
Only services expressly included in the quotation or agreement are included. Additional services requested later may be charged separately.
3. Bespoke Nature of Our Services
Wedding and event planning are bespoke services.
Quotations, designs, mood boards, styling concepts and recommendations are created specifically for each Client and event.
Images, colours, floral arrangements, furniture, décor and other references shown during the planning process are intended as inspiration and may not always be reproduced exactly.
Availability, seasonality, supplier stock, weather conditions, venue restrictions and other circumstances may require certain elements to be replaced or adapted.
Where necessary, Costa Blanca Events will endeavour to provide an alternative of comparable quality and, where reasonably possible, within the agreed budget.
4. Quotations and Proposals
All quotations are prepared based on the information available to Costa Blanca Events at the time the quotation is prepared.
A quotation becomes a confirmed booking only when:
The Client has accepted the quotation or agreement.
The required initial payment has been received.
Costa Blanca Events has confirmed the booking in writing.
A quotation is valid for the period stated in the quotation.
Supplier prices, venue prices, availability, taxes, transportation costs and other third-party costs may change before a booking is confirmed. If a supplier or venue changes its price or availability before final confirmation, Costa Blanca Events may amend the quotation accordingly.
Where wedding planning forms part of the service, the wedding planning fee is 10% of the total wedding budget, with a minimum planning fee of €4,000 excluding applicable VAT.
The wedding planning fee is included in the total quotation where this is specifically stated in the quotation.
If the total wedding budget increases during the planning process, Costa Blanca Events reserves the right to recalculate the wedding planning fee based on the revised total wedding budget. The Client will be informed in advance.
4A. Introductory and Informational Video Calls
Before entering into a collaboration, Costa Blanca Events offers a maximum of two informational and introductory video calls.
These calls are intended to:
Introduce the Client and Costa Blanca Events
Discuss the Client’s wishes and expectations
Discuss the wedding budget and general planning
Explain the working methods and services of Costa Blanca Events
Determine whether Costa Blanca Events and the Client are a suitable match
The two video calls form part of the introductory and selection process and are not intended to constitute unlimited advice or planning services.
After these two calls, the Client is expected to decide whether they wish to proceed with Costa Blanca Events.
Costa Blanca Events also reserves the right to decide not to proceed with a collaboration where the wishes, expectations, availability or working methods do not sufficiently align.
The collaboration only becomes final after written acceptance of the quotation or agreement and receipt of the required initial payment.
5. Booking and Confirmation
A wedding or event date is only finally reserved once the required initial payment has been received and Costa Blanca Events has confirmed the booking in writing.
The booking is only confirmed once:
The quotation has been accepted in writing
The first payment of 30% of the total quotation amount has been received
The €1,000 security deposit has been paid
The booking payment reserves the availability of Costa Blanca Events for the agreed date and allows us to begin preparations.
Because wedding planning is a bespoke service and we may decline other work for the same date, the booking payment may be subject to the cancellation provisions in these Terms & Conditions and the individual agreement.
6. Fees and Payment
The Client shall pay the total amount stated in the quotation accepted by Costa Blanca Events according to the following payment schedule.
Upon Signing — 30%
30% of the total quotation amount is due upon signing the agreement.
At the same time, the €1,000 security deposit must be paid. The security deposit is separate from the quotation amount and is payable in addition to the quotation amount.
Three Months Before the Wedding Date — 30%
A further 30% of the total quotation amount is due no later than three months before the wedding date.
Thirty Days Before the Wedding Date — 40%
The remaining 40% of the total quotation amount is due in full no later than 30 days before the wedding date.
The full quotation amount must therefore be paid no later than 30 days before the wedding date.
Where a supplier, venue or other third party requires payment earlier than the payment schedule above, Costa Blanca Events may request that payment from the Client earlier. The Client will be informed in advance.
Where Costa Blanca Events makes supplier payments on behalf of the Client, Costa Blanca Events is not required to advance these amounts from its own funds.
If a payment is not received on time and this results in a supplier, venue or other service becoming unavailable, any resulting costs, losses or consequences may be charged to the Client.
Any additional services, products, decoration, suppliers or other work added after acceptance of the quotation will be invoiced separately and must be paid according to the payment terms provided for those additional services.
The wedding planning fee is 10% of the total wedding budget, with a minimum of €4,000 excluding applicable VAT. Where the wedding planning fee is included in the quotation, it forms part of the total quotation amount.
7. Suppliers and Third Parties
Many aspects of a wedding are provided by independent suppliers, including:
Venues and hotels
Caterers
Florists
Photographers
Videographers
DJs
Entertainment providers
Transport companies
Hair and makeup artists
Rental companies
Furniture suppliers
Lighting and production companies
Unless otherwise agreed in writing, contracts for these services are entered into directly between the Client and the relevant supplier.
The supplier’s own terms and conditions, cancellation policy and payment schedule will apply.
The Client is responsible for reviewing and accepting the supplier’s terms before booking.
8. Supplier Recommendations
Costa Blanca Events may recommend suppliers based on our experience, availability, style, quality, location and suitability for the event.
We aim to work with professional and reputable suppliers. However, we cannot guarantee that an independent supplier will always be available, meet all expectations or fully perform its obligations.
Where a supplier fails to perform, cancels, becomes unavailable, changes its prices or otherwise fails to meet its obligations, Costa Blanca Events will use reasonable efforts to assist the Client in finding a solution.
Costa Blanca Events is not liable for losses arising solely from the acts or omissions of independent suppliers.
9. Supplier Payments Made by Costa Blanca Events
Where Costa Blanca Events agrees to make a payment to a supplier on behalf of the Client, the Client must provide the required funds to Costa Blanca Events before the supplier’s payment deadline.
Costa Blanca Events is not required to advance its own funds on behalf of the Client.
Any bank charges, currency conversion costs or payment processing fees may be passed on to the Client where applicable.
10. Client Responsibilities
The Client agrees to:
Provide accurate and complete information
Make decisions within reasonable timeframes
Respond to requests for information or approval on time
Provide accurate guest numbers
Provide dietary, accessibility and other relevant requirements
Make payments on time
Review supplier contracts before accepting them
Inform Costa Blanca Events of changes that may affect the event
Obtain any personal or legal documents required for the wedding
Ensure that guests comply with venue rules
Treat Costa Blanca Events, its employees, contractors and suppliers respectfully
Delays caused by the Client may affect planning timelines, supplier availability and the final event outcome.
Costa Blanca Events is not responsible for delays or additional costs caused by information, approvals or payments not being provided on time.
11. Communication
Costa Blanca Events will communicate with the Client primarily by email, telephone, messaging services and/or scheduled meetings.
During busy periods of the wedding season, response times may be longer than usual.
Urgent requests immediately before or during the wedding may be charged separately where they fall outside the agreed scope of services.
Costa Blanca Events does not guarantee 24-hour availability unless this is specifically included in the Client’s package.
12. Changes to the Event
Changes made after the booking has been confirmed may result in additional costs.
This may include changes to:
The date
The venue
Significant guest numbers
The design concept
Additional events
Additional meetings
Additional suppliers
Additional décor
Additional set-up or breakdown requirements
Additional working hours
Significant changes requested close to the wedding date
Where possible, Costa Blanca Events will discuss additional costs with the Client in advance.
13. Design and Creative Direction
The Client acknowledges that wedding styling and design involve creative interpretation.
Mood boards, sketches, colour palettes and visual references are conceptual and do not guarantee that every detail will be reproduced exactly.
Natural materials such as flowers, foliage, wood, stone and other decorative materials may vary in colour, size, shape and availability.
Costa Blanca Events may make reasonable substitutions where necessary while maintaining the overall agreed aesthetic as closely as reasonably possible.
14. Decoration and Rental Items
Where Costa Blanca Events provides furniture, décor, tableware, candles, signage, flowers or other rental items, these remain the property of Costa Blanca Events or the relevant supplier unless otherwise agreed in writing.
The Client is responsible for the proper and careful use of rented items.
Items may not be intentionally damaged, removed or taken away by guests.
Damage, loss or theft caused by the Client or their guests may result in additional charges. Such charges will reflect the reasonable cost of repair, replacement or recovery.
15. Wedding Day Services
Where wedding day coordination or on-site management is included, the agreed hours and number of coordinators will be stated in the agreement.
Additional hours may be charged where the event runs beyond the agreed working period.
Costa Blanca Events will use reasonable efforts to ensure that the agreed timeline is followed.
However, a wedding day involves multiple independent suppliers and circumstances outside our control. We therefore cannot guarantee that every aspect of the event will run exactly according to the planned schedule.
16. Venue Access and Set-Up
The Client is responsible for ensuring that Costa Blanca Events and its suppliers have appropriate access to the venue during the agreed set-up and breakdown times.
Additional costs may arise where:
Access is delayed
The venue changes access times
Parking or loading access is restricted
Additional labour is required
The set-up area is not ready
Other suppliers delay installation
Such costs may be charged to the Client where they fall outside the agreed scope.
17. Cancellation by the Client
Any cancellation of the wedding and/or Costa Blanca Events’ services must be submitted in writing.
Once the quotation has been accepted, the wedding date is reserved exclusively for the Client and Costa Blanca Events begins planning, communicating with suppliers and securing services.
Cancellation may therefore result in cancellation charges being payable.
Unless otherwise agreed in writing in the individual agreement, the following cancellation charges apply:
Cancellation More Than 180 Days Before the Wedding Date
30% of the total amount of the accepted quotation is due.
Any non-refundable or non-recoverable costs already incurred for suppliers, venues, reservations, transport, materials or other services remain payable by the Client in addition to the above, where applicable.
Cancellation Between 180 and 90 Days Before the Wedding Date
50% of the total amount of the accepted quotation is due.
Any non-refundable or non-recoverable supplier and third-party costs remain payable in addition to the above.
Cancellation Between 90 and 30 Days Before the Wedding Date
75% of the total amount of the accepted quotation is due.
Any non-refundable or non-recoverable supplier, venue and third-party costs remain payable in addition to the above.
Cancellation Less Than 30 Days Before the Wedding Date
100% of the total amount of the accepted quotation is due.
Any non-refundable or non-recoverable supplier, venue and third-party costs remain payable where these are not already included in the total quotation amount.
Security Deposit
The €1,000 security deposit is separate from the cancellation charges above.
The security deposit will not automatically be treated as part of the cancellation charge.
Where, at the time of cancellation, additional costs, damage, loss or other amounts are payable by the Client under the agreement, Costa Blanca Events may use the security deposit towards those amounts.
Any unused balance of the security deposit will be returned in accordance with Section 23.
Amounts Already Paid
Amounts already paid by the Client will be credited against the cancellation charges described above.
If the amount due under the cancellation policy exceeds the amount already paid, the Client remains liable for the outstanding balance.
If the amount already paid exceeds the amount due under the cancellation policy, any difference may be refunded, to the extent legally required and after deduction of any non-recoverable supplier or third-party costs.
Suppliers and Third Parties
Costa Blanca Events’ cancellation charges are separate from the terms and conditions of external suppliers.
Venues, caterers, photographers, videographers, florists and other suppliers may have their own cancellation policies. Any costs arising under those policies remain the responsibility of the Client.
Costa Blanca Events will use reasonable efforts to recover refundable amounts or deposits from suppliers but cannot guarantee that such amounts will be recoverable.
The exact financial consequences of a cancellation are also subject to the individual agreement, applicable supplier terms and applicable law.
18. Postponement or Change of Date
Postponing an event is not automatically treated as a cancellation.
Any postponement must be agreed in writing.
A new date is subject to:
The availability of Costa Blanca Events
The availability of the venue and suppliers
Supplier cancellation and transfer policies
Additional planning work
Changes in prices
Venue costs
Changes in guest numbers or event requirements
Where the new date is available, Costa Blanca Events may, subject to the individual agreement, transfer amounts already paid to the new date.
A postponement may result in an additional planning or administration fee where substantial additional work is required.
19. Force Majeure
Costa Blanca Events shall not be liable for failure or delay caused by circumstances beyond our reasonable control.
Such circumstances may include:
Extreme weather
Floods
Wildfires
Natural disasters
Epidemics or pandemics
Government restrictions
War
Terrorism
Civil unrest
Strikes
Transport disruption
Power failures
Venue closure
Supplier insolvency
Serious illness or emergency
Other circumstances that could not reasonably have been prevented
Where such circumstances affect the wedding, Costa Blanca Events will work with the Client and relevant suppliers to find a reasonable solution where possible.
Additional costs arising from postponement, replacement suppliers, venue changes or other arrangements may be payable by the Client unless otherwise agreed.
20. Weather
Outdoor weddings and events are dependent on weather conditions.
Costa Blanca Events cannot guarantee that an outdoor event will be possible.
Where an alternative weather plan has been agreed, the final decision may need to be made close to the event based on safety, venue rules and the weather forecast.
Additional costs for tents, indoor spaces, flooring, equipment, staffing or alternative décor may be payable by the Client unless these are already included in the quotation.
The safety of guests, suppliers and staff will always take priority.
21. Liability
Costa Blanca Events will perform its services with reasonable care and skill.
However, Costa Blanca Events is not responsible for:
Acts or omissions of independent suppliers
Venue restrictions or failures
Weather conditions
Guest behaviour
Travel disruption
Flight delays
Traffic
Loss of or damage to personal belongings
Changes made directly by the Client or guests
Circumstances outside our reasonable control
To the maximum extent permitted by applicable law, Costa Blanca Events’ liability is limited to the amount paid by the Client to Costa Blanca Events for the specific services giving rise to the claim.
Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law.
22. Client Indemnification
To the extent permitted by applicable law, the Client is responsible for claims, costs or losses arising from:
The Client’s breach of these Terms & Conditions
Damage caused by the Client or their guests
Unauthorised use or removal of rental items
Information supplied by the Client that is inaccurate or incomplete
Contracts entered into directly by the Client with third-party suppliers
This does not apply to the extent that a claim results from Costa Blanca Events’ own negligence, wilful misconduct or legally non-excludable liability.
23. Security Deposit
A security deposit of €1,000 is required for the services of Costa Blanca Events.
The security deposit is payable when the agreement is entered into, together with the first payment of 30% of the total quotation amount.
The security deposit is completely separate from the quotation amount and is not included in the 30% / 30% / 40% payment schedule.
The security deposit serves as security for any additional costs arising during the preparation, execution or completion of the event which are not already included in the agreed quotation.
The security deposit may be used for:
Damage to décor, furniture or other items belonging to Costa Blanca Events or its suppliers
Loss or theft of rented or supplied items
Additional staff or wedding coordination hours
Additional set-up or breakdown work
Additional transport or logistics costs
Additional work resulting from changes or circumstances caused by the Client or their guests
Costs arising where materials cannot be collected in the agreed manner or at the agreed time
Other reasonable and demonstrable additional costs that are payable by the Client under the agreement
Where, after the event, there are no additional costs, damage, loss or other amounts payable by the Client, the full €1,000 security deposit will be returned.
Where additional costs have arisen, Costa Blanca Events may set off those costs against the security deposit.
If the actual costs exceed €1,000, the Client remains responsible for the remaining balance.
Costa Blanca Events will inform the Client where part or all of the security deposit is retained and will explain the relevant costs where applicable.
The security deposit, or any remaining balance, will be returned within a reasonable period after the event and once all relevant costs and supplier settlements have been received and checked.
24. Photography, Video and Marketing
Costa Blanca Events may request permission to use photographs and videos of completed weddings and events for portfolio and marketing purposes.
The use of identifiable individuals will be carried out in accordance with applicable privacy and image rights laws and, where required, with appropriate consent.
The Client may notify Costa Blanca Events if they do not wish identifiable images to be used for promotional purposes.
This provision should be read together with our Privacy Policy.
25. Intellectual Property
All original concepts, designs, mood boards, proposals, documents, timelines, styling concepts, graphics and other creative materials produced by Costa Blanca Events remain the intellectual property of Costa Blanca Events unless otherwise agreed in writing.
Such materials may not be reproduced, distributed, sold or used for another event or commercial purpose without our prior written permission.
The Client may use materials created specifically for their own event for personal purposes.
26. Confidentiality
Both parties agree to keep confidential any commercially sensitive or private information received from the other party in connection with the event.
This does not prevent either party from disclosing information where required by law or where disclosure is necessary for the proper performance of the services.
27. Termination by Costa Blanca Events
Costa Blanca Events may terminate the agreement where:
The Client materially breaches the agreement
Required payments are not made
The Client behaves abusively, threateningly or unlawfully towards our team or suppliers
Continuing the relationship would place our team or suppliers at unreasonable risk
Circumstances outside our reasonable control prevent us from providing the services
Where reasonably possible, we will provide written notice and an opportunity to remedy a breach.
Where Costa Blanca Events terminates an agreement for reasons attributable to the Client, fees for work already completed and costs already incurred remain payable.
Where Costa Blanca Events is unable to provide the services due to circumstances outside its reasonable control, we will make reasonable efforts to assist with an alternative solution.
Any refund will be determined in accordance with the individual agreement and applicable law.
28. Third-Party Contracts
The Client acknowledges that third-party suppliers may have their own contracts and terms.
In the event of a conflict between these Terms & Conditions and a supplier’s terms, the supplier’s terms will govern the relationship between the Client and that supplier.
Costa Blanca Events cannot alter or override a third-party supplier’s cancellation, payment or refund policy.
29. Children and Guests
The Client is responsible for ensuring that guests, including children, comply with venue rules and safety requirements.
Costa Blanca Events is not responsible for supervising children or guests unless a separate service has been expressly agreed.
30. Legal Requirements and Documentation
The Client is responsible for providing all documents and information required for the wedding or event.
Where Costa Blanca Events assists with administrative or legal wedding requirements, this assistance does not constitute legal advice.
The Client remains responsible for ensuring that they meet all legal requirements applicable to their personal circumstances.
31. VAT and Taxes
Unless expressly stated otherwise, all prices are subject to applicable VAT and taxes.
Where VAT is legally applicable, it will be charged at the applicable rate.
Any changes in applicable taxes or government charges may be reflected in the final price.
32. Complaints
If the Client has a concern regarding our services, we ask that the Client contact us as soon as reasonably possible.
Complaints should preferably be submitted in writing to:

We will review the complaint and make reasonable efforts to resolve the matter fairly and professionally.
33. Data Protection
Costa Blanca Events processes personal data in accordance with our Privacy Policy and applicable data protection legislation, including the General Data Protection Regulation (GDPR) and relevant Spanish legislation.
Our Privacy Policy forms part of our overall contractual and information framework.
34. Electronic Communication and Signatures
The Client agrees that electronic communication, electronic acceptance and electronic signatures may be used for the booking and administration of services.
An electronically signed agreement or written electronic acceptance may be treated as confirmation of the agreement, subject to applicable law.
35. Governing Law
These Terms & Conditions and any agreement between Costa Blanca Events and the Client shall be governed by the laws of Spain.
Where the Client qualifies as a consumer under applicable consumer protection legislation, nothing in these Terms & Conditions is intended to deprive the Client of any mandatory consumer rights or protections applicable to them.
Any dispute shall first be addressed through good-faith communication between the parties.
Where a dispute cannot be resolved amicably, it shall be submitted to the competent courts in accordance with applicable Spanish law and mandatory consumer jurisdiction rules.
36. Severability
If any provision of these Terms & Conditions is found to be invalid, unlawful or unenforceable, that provision shall be modified or removed only to the extent necessary.
The remaining provisions shall continue to apply.
37. Entire Agreement
The Client’s individual quotation, proposal, service agreement and these Terms & Conditions together constitute the agreement between the Client and Costa Blanca Events.
Where there is a conflict between the individual service agreement and these general Terms & Conditions, the terms of the individual signed agreement shall prevail to the extent of the conflict.
Any amendment to the agreement must be confirmed in writing.
38. Acceptance
By signing the individual agreement, accepting a quotation, making the required initial payment or instructing Costa Blanca Events to commence work, the Client confirms that they have read and understood these Terms & Conditions and agree to be bound by them.
